Welcome to Code Buddy. This Privacy Policy explains how Code Buddy LLC (“Code Buddy”, “we”, “us”, or “our”), an Arizona limited liability company, collects, uses, discloses, and protects your personal information when you interact with our services. By using Code Buddy, you agree to the practices outlined in this Privacy Policy.

1. Information We Collect

A. Information You Provide

When you use Code Buddy, you may voluntarily provide us with:

  • User Profile Information: Name, email address, mobile phone number, professional credentials, and other account-related details.
  • Chat Data: Conversations and interactions with Code Buddy to improve functionality and support services.
  • Feedback: Voluntary surveys, reviews, or feedback submissions to improve our offerings.

B. Information Automatically Collected

We automatically collect:

  • Device and Usage Information: IP address, browser type, operating system, access times, and page visits.

  • Location Data: When you use inspection features, we may collect GPS coordinates and location information with your permission. This data helps verify inspection locations and may be displayed on maps within inspection reports. You can deny location access through your browser or device settings.

2. SMS / Text Messaging

Program Description. Code Buddy LLC operates an SMS messaging program for the sole purpose of authentication and account-related notifications. Messages sent under this program include one-time login codes, signup verification codes, phone-number verification codes, password reset codes, and account-related security alerts. No marketing or promotional SMS is sent under this program.

How You Opt In. You opt in to receive SMS messages from Code Buddy by entering your mobile phone number into the Code Buddy signup form, account settings, or the verify-phone screen, then confirming the verification code we send to that number. Your opt-in is recorded in our database with a timestamp at the moment you confirm verification. Your consent to receive SMS messages is not a condition of any purchase.

Message Frequency. Message frequency varies based on your account activity — typically one or a few messages per day at most, only when you are actively logging in, verifying your phone, or resetting a password.

Message and Data Rates. Message and data rates may apply, in accordance with your mobile carrier’s plan.

How You Opt Out. You can opt out of SMS messages at any time by replying STOP to any message we send. You will receive a confirmation that you have been unsubscribed and will not receive further SMS messages from this program. For help, reply HELP and you will receive a help message with our support contact. You may also remove your phone number from your account through your account settings, which has the same effect as replying STOP.

Mobile Information and Messaging Consent — No Third-Party Sharing. Mobile information and messaging consent will not be shared with third parties or affiliates for marketing or promotional purposes. This includes your phone number, your opt-in to receive SMS messages, and any related consent records. Phone numbers and SMS consent records are used solely to deliver the authentication messages described above, and are shared only with our SMS delivery vendor (Twilio Inc.) for the limited purpose of delivering the messages you have requested. We do not sell, rent, lease, or otherwise transfer mobile information or messaging consent to any third party for any marketing or promotional purpose.

Carrier Disclaimer. Carriers are not liable for delayed or undelivered messages.

Data Retention. We retain phone numbers for as long as your account is active. When you delete your account or remove your phone number, we remove it from active records, except where retention is required by law or for fraud prevention.

3. Image, Video, and Audio Data

When you utilize features within Code Buddy that involve the submission, capture, or processing of images, video, or audio content (collectively, “Multimedia Content”), such as through our Vision features (e.g., image upload, camera access), you acknowledge and agree to the following:

Purpose of Collection and Use: We collect and process Multimedia Content primarily to provide and enhance the functionality of the features you are using.

AI System Enhancement: You expressly consent that we may utilize your Multimedia Content to train, provide feedback to, and improve our artificial intelligence (AI) systems, algorithms, and related integrations. This includes, but is not limited to, using such content for machine learning, model refinement, quality assurance, and the development of new AI-driven features and services.

Data Handling: Multimedia Content used for AI system enhancement is de-identified and anonymized prior to such use, so that no personal information identifying you is included. No identifying data will be associated with any Multimedia Content used to improve our services. Multimedia Content may be stored by us or our trusted third-party service providers for the purposes outlined in this policy. We will retain this data only for as long as necessary to fulfill these purposes or as required by applicable law.

No Sale of Multimedia Content: We will not sell your raw Multimedia Content to unaffiliated third parties.

Sharing for Service Provision and Improvement: We may share Multimedia Content with trusted third-party service providers who assist us in operating our services, conducting our business, or servicing you (e.g., cloud storage providers, AI model development partners), so long as those parties agree to keep this information confidential and use it only for the purposes for which we disclose it to them. Code Buddy allows you to share inspection reports via public links. When you share an inspection:

  • Public Accessibility: Anyone with the share link can view the inspection report without requiring a Code Buddy account. You control what information is included (images, checklist, location) through share settings.
  • View Tracking: We track view counts and timestamps for shared inspections to provide you with analytics about who has accessed your shared reports.
  • Revocation: You can revoke share links at any time, which will immediately prevent further access to the shared inspection.
  • Your Responsibility: You are responsible for ensuring that shared inspections do not contain sensitive personal information of third parties without their consent. Consider carefully what information to include before sharing.

5. How We Use Your Information

We use collected information to:

  • Provide and improve Code Buddy’s features and services.
  • Enhance user experience and analyze trends.
  • Comply with legal obligations and enforce our terms.
  • Improve and develop the Service using anonymized, aggregated usage data. Before any such data is used for this purpose, it is stripped of all personal identifiers so that no individual user can be identified from it.
